SMS scheduling for stock condition surveys

The calm way to fill your surveyor's week.

Upload your address list. Halcyra texts every tenant, negotiates a day and time in plain English, fills the week board automatically, and hands off to a person the moment a reply needs one — no chasing, no phone tag.

How it works

Three things happen between "job logged" and "money in".

Nothing here needs a call centre. The address list goes in once — the negotiating happens on its own.

01 — Upload

Bring your address list

Drop in a CSV of tenants, addresses, and phone numbers — from your existing job sheet, no reformatting needed. Add a surveyor column and each row's assigned to the right person automatically.

02 — Negotiate

Halcyra does the texting

Each tenant gets an opening text under your firm's name. Halcyra replies in real time, holds your weekday (or weekend) rule and working hours, and books a slot the moment one's agreed.

03 — Turn up

Reminders, board, and payout

A reminder goes out the evening before. Confirmed slots land straight on the week or month board, and your income total updates as each one comes in.

What's built in

The parts that make it safe to hand over.

Address-list upload

Upload a CSV of tenants once — Halcyra validates it, flags anything missing, and queues every row as a job ready to text.

Human hand-off

Confused, upset, or off-topic replies get flagged "Needs a person" instead of guessed at — nobody gets an AI arguing with them.

Weekday, weekend, and working-hours rules

Flip a switch per surveyor for weekends, and set the hours Halcyra's allowed to book into (9am–5pm by default). It'll never offer or accept a time outside them.

Income, by day and week

Set your rate per survey once. Every confirmed booking totals up automatically, grouped the way you'd invoice it.

Each surveyor sees their own patch

Every surveyor logs in separately and only ever sees the jobs assigned to them — not the whole firm's list. An admin sees everything and manages the team.

Built with tenant data in mind

Every opening text discloses it's an automated assistant, and tenants can ask for a person at any point. An admin can permanently erase a tenant's record on request.

Straight onto a calendar

Every confirmed booking gets one-tap "add to calendar" links for Google Calendar, Outlook, and Apple Calendar — no re-typing an appointment by hand.

Export whenever you need it

Pull the whole job list — or just your own, if you're a surveyor — as a CSV any time, with names, addresses, statuses, and who it's assigned to.

Ask Halcyra, anytime

The chat button in the corner of every page answers questions about pricing, setup, and how a feature works — day or night, no waiting on a reply.

Case studies
Illustrative examples — not real customers

Two ways firms end up using it.

Halcyra is new, so these are worked examples of the kind of firm it's built for — not real testimonials. We'll swap these for genuine customer stories as they come in.

Elmswood Housing Partnership
HOUSING ASSOCIATION · 15 SURVEYORS · WORKED EXAMPLE

Elmswood runs a rolling stock condition survey programme across several thousand tenancies a year. Before Halcyra, each surveyor (or an assistant working for them) phoned tenants directly to arrange a visit — a lot of voicemail, a lot of call-backs, and appointments that fell through when nobody picked up.

With an address list uploaded and assigned by surveyor each month, Halcyra handles the opening text and the back-and-forth, only escalating to a person when a tenant needs one. Surveyors spend their time doing surveys, not phoning ahead.

Fenbrook Independent Surveys
INDEPENDENT FIRM · 1 SURVEYOR · WORKED EXAMPLE

Fenbrook is a one-person operation — a single surveyor covering a modest patch each month. Booking calls used to eat into evenings and early mornings, the only time tenants tended to pick up.

A CSV of the month's addresses goes in once. Halcyra does the texting during the day while the surveyor's out on site, and by the time they check the dashboard that evening, most of the week's already confirmed.

"I stopped being the person tenants couldn't reach. It arranges the visit before I've even driven there."

"The bit that mattered to our board was the disclosure — tenants are told straight away it's automated, and it hands off properly if someone's upset."

"I was nervous about 'pay per text' sounding open-ended. Seeing the running total on the dashboard sorted that out in the first week."

Questions

Everything else, in plain terms.

Do tenants know they're texting a bot?

Yes — every opening text says upfront that an automated assistant is handling the conversation. There's no attempt to pass it off as a person.

What if a tenant wants to speak to someone?

They can reply "person" (or ask in their own words) at any point, and the job is flagged "Needs a person" immediately instead of Halcyra trying to talk them out of it. The same thing happens automatically if a reply is confused, upset, or off-topic.

Can I control what days and times it books into?

Yes, both. Weekends are off by default and a single switch turns them on. Working hours (9am–5pm by default) are also yours to set — Halcyra won't offer or accept a time outside them, whatever the tenant asks for.

What if more than one surveyor needs to use it?

The person who signs up becomes the admin and can add a surveyor account for everyone else. Each surveyor logs in separately and only ever sees the jobs assigned to them — an admin sees the whole firm's list and can reassign any job.

Does it work with my calendar?

Every confirmed booking gets "add to calendar" links for Google Calendar and Outlook, plus a downloadable file that works with Apple Calendar or almost anything else.

Can I get my data out of Halcyra?

Yes, any time, as a CSV — an admin can export the whole firm's job list, and a surveyor can export their own. If a tenant asks for their record to be deleted, an admin can permanently erase it from the job's detail panel.

How does pricing actually work?

A flat monthly base fee, plus a small charge per text sent or received — no volume tier to guess ahead of time or outgrow later. The dashboard shows texts metered and the running cost for the current period live, so nothing arrives as a surprise on the invoice.

How do I actually get started?

Sign up and you're the admin for your firm's own instance — subscribe, upload your address list (with a column to assign rows to specific surveyors, if you've got more than one), and Halcyra starts texting. No calls, no onboarding meeting required, though you're welcome to book a demo first if you'd rather talk it through.

Pricing

A base fee, plus a few pence a text.

No tier to outgrow, no guessing your volume upfront — priced by how much you actually use it.

BASE FEE

One flat monthly charge

Covers the dashboard, address-list upload, the week/month board, and income summary — whether you send ten texts a month or ten thousand.

PER TEXT

A small charge per text

Every message sent or received adds a few pence to the bill — covers the SMS and AI cost underneath, with room to spare either way.

NO SURPRISES

See it building up

The dashboard shows texts metered and estimated cost for the current period, live — nothing waits for the invoice to land.

One address list. A full week booked.

Sign up and you're the admin — invite your surveyors afterwards.
